    Position Overview: We are seeking a highly organized and proactive Documentation Specialist to join our Virtual Design and Construction (VDC) team. The Preconstruction Documentation Specialist will play a critical role in coordinating between critical stakeholders (architects, general contractors, and clients) to ensure all required documentation and information is aggregated or assembled on time, prior to initiation of construction coordination efforts. The ideal candidate will be a persistent yet personable professional who ensures deadlines are met without compromising relationships.

    Key Responsibilities:

    • Collaborate with critical stakeholders (architects, general contractors, and clients), to expedite the aggregation of critical project documentation.
    • Serve as the main point of contact in the aggregation of the documentation process.
    • Act as a liaison to facilitate on time delivery of coordinated design deliverables to the field.
    • Develop and maintain strong working relationships with project stakeholders, ensuring clear communication and accountability by maintaining sense of urgency within the preconstruction process.
    • Assist in coordinating project deliverable timelines to align with the VDC and engineering teams’ needs.
    • Provide regular updates to internal teams on documentation status and potential bottlenecks.
    • Address any issues or delays swiftly and effectively, balancing firmness and diplomacy in interactions.
    • Ensure that all documentation is completed in compliance with company standards and client expectations.
    • Provide internal support working hand and hand with in-house VDC and Engineering teams.

    Qualifications:

    • 2+ years of experience in project coordination, expediting, or a similar role, preferably within the construction, design, or engineering industries.
    • Strong communication skills with the ability to be both persuasive and professional.
    • Excellent documentation, organizational and time management abilities.
    • Proven ability to work under pressure and manage multiple priorities simultaneously.
    • Knowledge of construction and design processes is a plus.
    • Proficiency in project management software is an advantage.
