About the Position
The Corporate Travel Administrator is responsible for managing all aspects of corporate travel, including booking travel accommodations, coding Enterprise rental car charges, and reconciling travel card expenses. This role ensures that travel arrangements align with company policy and budget, while providing exceptional support to traveling employees. The position also includes administrative tasks related to travel documentation, expense reporting, and the maintenance of travel-related records.
Position Details/Responsibilities
- Make travel reservations for flights, hotels, car rentals, and other accommodations.
- Ensure that travel arrangements comply with company travel policies and budget guidelines.
- Review and code Enterprise rental car charges and corporate travel card expenses.
- Prepare, submit, and track travel-related payments and reimbursements.
- Assemble, verify, and process travel-related documentation, invoices, and expense reports.
- Research travel and hotel options to secure the best pricing and arrangements.
- Create and distribute detailed travel itineraries for employees and leadership.
- Obtain leadership approval for travel requests and expenses that exceed established limits.
- Advise employees on required travel documents (e.g., visas, passports) and assist with procurement as needed.
- Maintain and organize travel brochures, vendor materials, and reference documents.
- Monitor and facilitate the use of corporate travel programs, including air travel credit cards, frequent flyer accounts, and loyalty/reward programs.
- Maintain accurate records of travel billings, itineraries, approvals, invoices, and confirmations.
- Perform general clerical and administrative duties related to travel coordination.
- Support the finance or accounting team with reconciliation of travel-related charges.
- May require occasional extended hours during peak travel periods or deadlines.
- Perform other related duties as assigned.
Here's What We're Looking For
- High school diploma or equivalent required; Associate’s degree or coursework in business or administration preferred.
- 2+ years of experience in corporate travel booking, administrative support, or a related field.
- Familiarity with travel booking platforms, tools, or travel management software.
- Excellent organizational and time management skills.
- Strong attention to detail and accuracy.
- Effective written and verbal communication skills.
- Ability to maintain confidentiality and handle sensitive information.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Experience with global or multi-regional travel programs.
- Familiarity with systems such as SAP Concur, Egencia, or other leading travel platforms.
- Experience working with corporate car rental billing, travel card reconciliations, or expense reporting systems preferred.
- Certification in corporate travel (e.g., Global Business Travel Association certification) a plus.
