    About the Position

    First impressions matter and we want you to help make ours count! The Front Desk Administrator is often the first person to greet our employees, clients, and vendors, and this role plays a crucial part in making them feel welcome and excited for their Power Design experience from the very beginning. This position also serves as a front line for phone inquiries, providing helpful support to our team members and guests through friendly, professional, and attentive assistance.

    Located at our headquarters in St. Petersburg, Florida, this role is part of the SOURCE team (formerly known as HR) and plays a pivotal role in driving the Power Design experience that has earned us Top Workplaces awards for 13 years running.     Position Responsibilities

    • Greet, assist, and direct all in-person visitors, as well as answer incoming company phone calls
    • Handle all incoming emails and calls into the SOURCE phone line and determine if they need to be transferred to a team member or respective department
    • Direct inquiries to appropriate personnel, providing information and resources as needed to employees and guests
    • Ensure acknowledgement and response to employee inquiries, concerns, compliments, and complaints within 24 hours of receipt
    • Investigate/research a wide range of issues and requests that include gathering additional information, setting expectations and working with other team members to fulfill the inquiry
    • Interact with all levels of management, staff, customers and business partners as necessary
    • Proactively works with leadership to coordinate coverage when not present at front desk
    • Works on projects and performs other duties as assigned
    • Assist with administrative and personal duties while prioritizing and facilitating communication within and across departments.
    • Manage and coordinate the calendar, including travel arrangements and departmental meetings and events.
    • Coordinate and assist with special projects as needed, including research, documentation, reporting, presentations, and analysis.
    • While working on projects, maintain a sense of ownership and involvement in the process to help manage and reach departmental goals.
    • Attend meetings, keeping record of meeting minutes and following up with team members on assigned action items as needed.

    Here’s What We’re Looking For

    • Bachelor's degree in human resources, business, or another related field required
    • Related administrative experience preferred
    • Requires both written and oral fluency in English; Spanish fluence a plus
    • Excellent interpersonal skills with the ability to communicate with all levels of management
    • Strong organizational skills with the ability to multi-task in a high volume, fast-paced work environment with strict deadlines
    • Must be able to maintain a high level of confidentiality and professionalism
    • Proficient in Microsoft Office suite
    • Familiarity with content creation and project management tools such as Canva, Planning Pod, and Asana preferred
